Microsoft is planning to enable Multi-Factor Authentication (MFA) directly in its Outlook app for many 365 business users.

MFA is a vital tool to help protect your online accounts from cyber criminals. It works by generating a second, single-use passcode every time you log into an account. It’s usually sent to an authenticator app on your phone that you have to download and set up first.

Security codes can also be sent via SMS text message, by a phone call, or you might be given a special USB key to plug into your computer.

The process is often made quicker by using a biometric login like your fingerprint or face ID. It’s a minor chore, but the protection it offers far outweighs the couple of extra seconds it takes to access your account.

Microsoft isn’t so sure about those extra seconds, though. If the tech giant can save you that time, it’s going to do it. That’s why it’s looking to streamline MFA for Microsoft 365 business accounts.

It’s rolling out the improvement by building MFA directly into the Outlook app in a feature called Authenticator Lite. Until now, it’s relied on a separate authenticator app or sending login codes.

There’s no news yet for those of us who want faster authentication on our personal PCs. If Microsoft does announce plans to make this feature available to more hardware or operating systems, we’ll update you with any news.

If you don’t already use MFA for your apps and online accounts, we recommend that all businesses implement it as soon as possible. The additional security it offers protects against the vast majority of today’s cyber threats.

Cyber Security – What about your Mobile.

Don't forget your phone when you think about cyber security

Our phones are a goldmine of private information. Just think of all the financial details, personal messages, banking apps, photos and contact information that live behind that little glass screen.

And if your team use phones for work, they’ll often have access straight into company systems – email, contact lists, network access, file systems. So if they’re not kept as secure as any other device in your workplace, they can become a gaping hole in your cyber security.

Criminals know this, of course, which is why they target us through our phones just as much as they do through our networks and servers.

But cyber crime isn’t the only concern. Just losing your phone, or having it stolen, can put your data at huge risk.

So, whether you issue company smartphones, or your employees use their own, you should make sure everyone implements some simple security steps to protect your data and avoid disaster.

What to consider

Start with making sure your people set up a PIN and a biometric login (like a fingerprint or face scan) to open the device.

Only install apps from trusted sources to make sure you’re using genuine software.

And enable Multi-Factor Authentication on all apps that store even a small amount of sensitive data.

Be careful about where you connect to Wi-Fi. If you work remotely or often connect to public networks, consider using a VPN – a Virtual Private Network – to add another layer of security. You never know who’s monitoring traffic on a public network.

Finally, ALWAYS make sure your phone is running the latest version of its operating software, and keep all apps up to date.

Smartphones have changed so much about the way we live – at home, and at work – but it’s too easy to take them for granted. And that could be a costly mistake.

Cyber Attacks are getting Bigger and smarter

Have you ever tried to buy tickets for a huge event and found that the seller’s website has collapsed under the weight of thousands of people all trying to do the same thing at the same time?

The ticket site falls over – usually temporarily – because the server is overloaded with traffic it doesn’t have the capacity for.

Criminal Distributed Denial of Service attacks – DDoS, for short – exploit the same principle.

When a DDoS attack targets a business, it floods it with internet traffic in an attempt to overwhelm the system and force it to fail.

This results in the business and its customers being unable to access services. That may trigger a temporary failure, or it could be more serious. Last year, the average DDoS attack lasted 50 minutes.

That may not sound like a long time, but it’s enough to create angry customers, or to bring business to a grinding halt. And downtime can be costly.

The really bad news is that DDoS attacks are not only lasting longer, but they’re becoming bigger, more sophisticated and more common.

Recently, the biggest ever reported DDoS attack was reportedly blocked. At its peak, it sent 71 million requests per SECOND to its target’s servers. Prior to that, the biggest reported incident stood at 46 million requests per second.

Worse still, more businesses are reporting being targeted by DDoS attacks where criminals are demanding huge ransoms to stop the attack.

What does this mean for you?

It’s important you check all your security measures are up-to-date and working as they should be. Are your firewalls up to the task, with DDoS monitoring and prevention tools set up? And is your team fully aware of the importance of staying vigilant?

January is that time of year when a lot of us take our health seriously, well for a month or so! It is a good thing to look after yourself, and do something about it.

Your doctor would probably like to see you once a year for a health check, just to find any small problems and stop them from progressing.

It is the same principle with your technology.

Are your younger employees experiencing tech shame

It seems that Gen Z and even some Millennial employees are less tech savvy than many employers might expect. It’s an assumption that’s leading to a sense of ‘tech shame’.

Younger workers may have grown up using Snapchat, TikTok and Minecraft, but they’re not always equipped with the skills they need to adapt to the workplace.

A recent study has found that one in five employees aged 18 to 29 feel judged when they encounter technical issues at work. That’s compared to just one in 25 employees aged 40 or over.

The solution may lie in providing better training, not just for younger colleagues and first-jobbers, but for the whole team. Some Gen Z workers may have started their careers during the pandemic. That means they will never have experienced anything other than a digital working environment. Especially if they work remotely or in a hybrid role.

As well as fixing any skill gaps there may be, whole-team training can provide a much-needed confidence boost for young employees.

Another consideration is the provision of tools and devices your team has access to – especially if they’re working remotely.

Younger workers with less available income to spend on home office equipment may be less likely to speak up if they’re struggling.

Simply checking in with employees – particularly if they’re not in the office – can make a big difference to their engagement, productivity, and confidence. If there are any issues, big or small, find a way to put them right, and you’ll notice a positive shift in the whole business.

Holiday Cyber Attacks

Holiday time is coming and so are the Holiday cyber-attacks!

Before working in IT, and Cyber Security, I was in the Military, and whenever we were operating during holiday periods, we knew in the back of our minds that if something was going to happen it would happen during holiday time.

The same is true of cyber-attacks and cybercrime. This year we might see more than previous years, already in early October there was an attack on some of America’s largest airports websites.

It isn’t just the Christmas holiday period that we see the increase

  • Colonial Pipeline (Mother’s Day Weekend (US))
  • Kaseya 4th of July
  • Sony and Microsoft Christmas Eve)

Holiday Cyber Attacks, why and what you can do.

The bad guys are aware that during holiday periods there are fewer employees around to look after the infrastructure. Also we are all preoccupied with thoughts of the festive season. So may click on items that we might not normally do.

Security tips:

  • Train empolyees in cybersecurity and phisihing awareness.
    User error is still the number one cause of malware attacks, make sure all employees undergo an annual social engineering training.
  • What are the internal threats, including scanning and patching software?
    If you are able to make sure these are taken care of this will help in securing your organisation from exploits whilst there is limited supervision during this period.
  • Who has access to your Systems.
    Have you implemented a strategy to restrict who has access to data stores, and applications. Only allowing team members access to what they need and having the right levels of privileged access will help.
  • Protect the Network
    Although perimeter firewalls will assist in a strong defence, you should also deploy firewalls at the endpoint, and this should block applications and traffic, unless it is required.

Working from home, is it good for your business?

Working from home. Or remote working, as it’s now called.

It’s the big thing in business, isn’t it? And some people love it.

They’re happier working where they want, and when they want. And that makes them more productive and less likely to leave.

But have you stopped to consider the downside to remote working? The negative elements for your business and your people?

While many employees are happy to work from home using video calls and collaborative software to stay connected, there’s a small percentage who find the whole experience isolating.

And when that happens, it can quickly lead to a drop in motivation and happiness. It can even change the culture within your business.

In turn, this can lead to performance issues which may be trickier to spot.

At the other extreme, some employees will become more susceptible to burnout as they struggle to draw a line between work and personal time. That change in environment can be so important for some.

Some employees won’t stop using apps that could be a security risk

Has the applications and software you used changed since the pandemic? Some employees may even be using applications which could be a security concern.

That’s because we’ve all had to make big adjustments to the way we communicate and collaborate.

And to begin with, it may have been hit and miss. It’s possible in the first few weeks and months that your employees had to use whatever tools they had available to them.

Now that we’ve settled into permanent new ways of working, we could pick the software tools that best suit our businesses!

Unfortunately, your employees might not like your choice of which apps should be used within the company. And some of them may continue to use the ones they prefer, despite the security risk that comes with that.

A recent survey found a massive 92% of employees want more control over the software, collaboration tools, and applications they use. And 51% continue to use apps that have been banned by IT departments.

It’s putting business owners in a difficult position.

Blocking apps and software may lead to employees feeling untrusted. This can lead to frustration and lack of motivation. It can really have a negative impact on your business.

But ignoring the issue can be just as bad. Unvetted apps can be a big security risk, leaving your data open to theft and your systems vulnerable to malware.

So what’s the answer?

We’d always suggest having open conversations with your people. It’s a good idea to invite feedback on the software you want to use. After all, your people are the ones using it day-in, day-out.

Take their suggestions on alternatives if the consensus is you’re using the wrong solutions and commit to looking into their viability.

It’s also a very good idea to make sure your people fully understand the risks that come with using unapproved apps, and the impact that can have on a business.

Even in cases where your team are all sticking to approved tools, keeping them educated on the latest cyber security initiatives is a smart move.

Your business is losing hours to spam!

Your Business is losing hours to spam every year, probably 100’s of hours of wasted productivity.

Having to clear the spam from your inbox is a productivity killer.

A recent report found that each one of your employees could be losing up to 80 hours each year, thanks to filtering and deleting spam emails.

That’s a LOT of lost productivity.

How Much Time!

The report stated that between 45% and 95% of emails were spam. Every day somewhere between nearly half and all email are spam. More concerning is that this also includes malicious emails.

If one of your employees gets 30 external emails a day, they’d get around 30 spam emails each week. That would work out to around 5 hours each year wasted on sorting through and deleting them.

For an employee who gets up to 60 emails a day, it would be around 11 hours a year wasted.

And for someone who gets more than 100 emails each day, you’re looking at around 80 hours of lost productivity.

Now add that up for each one of your team and you could be looking at a big number.

Not only that, but since a proportion of these emails will be phishing attempts (that’s where the sender wants you to take an action that will secretly give them access to sensitive data), it’s also a big risk to your data security too.

What can be done

Of course, there are a few things you can do to cut down the time spent on dealing with spam emails. The first is to make use of the spam and junk email filters available from your email service.

You may also consider bringing in dedicated anti-spam and anti-phishing tools.

Finally, you can make your people aware of the risks of spam, how to spot spam emails, and the best way to deal with it to save time and minimise the risk of malware or a data breach.

Three new Teams features to look forward to

3 new features in teams coming soon

Over the last couple of years and fuelled by the pandemic the use of Teams has exploded. It is now used by 270 million people every month. Whilst the growth in usage has slowed recently it is still the go to collaboration tool for a lot of organisations. And here are three new teams features to look forward to.

As you read this, you may be thinking how did we work before Teams!

It gives us all the ability to stay connected regardless of where we are working. And gives us those collaboration tools we need to work the way we work today.

Because it is part of Microsoft 35 packages, it is the logical solution to keep the team working on projects with no fuss.

Microsoft is constantly making improvements and adding features. Over the past few months, they have added new features like the virtual whiteboard, which you can use to throw around ideas during your video meetings. Also the ability to pin chat to the top.

There are 3 new features coming soon they are

  1. Coming later this month (hopefully) when you rename a Teams channel, it will automatically change the name of the SharePoint Folder.
  2. Chat with self feature. This feature will allow you to send yourself notes and messages, putting the I into team!
  3. Teams Calls will give you the same experience when using the Teams app and the web browser version.
